Reminder emails are triggered from a training notification (both manual and scheduled) to remind a user to login and take their training if this remains incomplete after a period of time.
To create a new or edit existing reminders you will need to access the Management System and click on Reminders in the side bar.
The Reminders page will display all courses which are licenced to your system. A summary of the current Reminder status is displayed under each course showing reminder status, and how many reminders are set. Select View/Edit Reminders to set up or alter a reminder (for the purpose of this article we will look at AssessRite 3.0).
Important Information There are 3 statuses your Reminders could be.Active The Reminders are active and will send after the specified time frame.
Inactive The Reminders have been switched off but can be enabled again.
Not Set No Reminders have been set for this course yet.
First select Course Reminders.
Select Add Reminder.
You will see some options to enter information and select options from drop down menus.
Interval in days - This is the time between sending the initial Training Notification trigger and the system automatically sending the Reminders to follow.
Training Notification (trigger email) - This is the initial email which is sent to the user to inform them of the requirement to start training.
Reminder to send - This is the Reminder email that will be sent xx days after the initial Training Notification was sent out. Training Notifications should be configured per course. If there are no Training Notifications, it is not possible to configure a Reminder.
Sending Action - You can select who the Reminder will go to. As a standard your system will be set to 'Send to Student', but this can be configured to also inform the Students Manager or another specified email address if required.
Important Information! Course Reminders and Daily Reminders can be enabled or disabled. However, unless a Reminder is configured following the steps above, no reminder emails will be sent.
Once you are happy with your Reminder select Save reminder. You will be able to go back into your Course Reminder screen to view what you have just set.
For this I have followed the steps above twice to show sending a First Reminder 14 days after the initial Training Notification, and a Final Reminder after 28 days after the initial Training Notification.
For some courses which have a self-assessment at the end you will also be able to set Reassessment Reminders. These can either be triggered from sending a user a Reassessment Notification, or if you have set up your Schedules so a user is required to recomplete an assessment only after a specified period of time.
